A contract will not exist between the Company and the passenger/s until such time as we have received a completed / signed copy of our standard Booking Form. Please ensure that names are given exactly as shown in the passenger(s) passport, as Azure Travel cannot be held liable for costs incurred for name changes once airline tickets have been issued, or for clients being denied boarding due to names on tickets not matching those shown in passports.
All prices are quoted in Rand based on exchange rates when going to press. Azure Travel (Pty) Ltd reserves the right to increase all rates subject to exchange fluctuations and/ or airfares of quoted prices. An increase/ change in Government taxes and rules will be charged to the client. In the event of any further payment, Azure Travel (Pty) Ltd will inform client in writing and payment is required within 7 days. Failing to receive the additional cost, Azure Travel (Pty) Ltd reserves the right to apply the cancellation rules for any refund due. In the event of tour rates being increased by more than 15%, the client has the right to cancel (within 7 days in writing) without any cancellation penalty.
Prices quoted do not include the costs of obtaining visas, passports, laundry, telephone calls, meals & beverages, entertainment, arrangements not shown in the itinerary unless specified, or any other item of a personal nature.
The deposit amount is due and payable as per the date specified on the confirmation sent by the consultant. Paying a deposit does not guarantee the final cost of the package.

Method of payment
The Company accepts payment for land arrangements in cash, by credit card or direct deposit into the Company bank account. Credit card payments require a signed credit card charge form imprinted with a valid credit card. If the card is a foreign credit card, the client will be required to supply additional details.
A late booking fee of R250 per party will be levied for all reservation requests received within two weeks of departure. Late payment may cause delay in delivery of documents. Azure Travel (Pty) Ltd will not accept any responsibility for delay and reserves the right to charge courier fees. The total price is due immediately on confirmation and is non-refundable.
A charge of R200.00 will be made for each alteration made to a reservation after confirmation has been sent or if pre-issued vouchers or documentation are required to be re-issued or refunded. If air tickets are required to be re-issued, a fee determined by the airline will be charged.
In accordance with the policy followed by members of ASATA, once a reservation request has been received in our office, it becomes liable for cancellation fees in according with the following scale, unless otherwise specified. Passengers who cancel their reservations within the prescribed periods below will incur the following cancellation penalty costs:-
>Forfeit deposit paid 8 weeks + prior to departure
> 50% of costs between 7-5 weeks
> 75% of costs between 5-2 weeks
> 100% cost less than 2 weeks
All agents commission is deducted from refund applied.
Refund and unused services
No refunds will be made for no-shows or any unused services irrespective of whether they form part of the basic inclusive tour or whether they are in respect of pre-booked optional arrangements
Please request, from the relevant consultant, the cancellation policies for the airlines booked.
The Company reserves the right to cancel the itinerary prior to departure in which the entire tour price paid by the client will be refunded without prejudice & further obligation on the part of the company.
The Company does not hold itself responsible, nor can it be held responsible for any delays prior to departure or during the course of a tour mentioned in our brochure brought about by technical difficulties, weather conditions, or any other circumstances whatsoever whether foreseen or unforeseen. It is understood that any expenses due to unscheduled extensions (e.g hotels meals, airfares, telephone calls etc) will be for the clients account.
Passports, Visas, Vaccinations, Inoculations and Re-entry visas
The responsibility to obtain correct & valid passports, visas, vaccinations, inoculations & re-entry permits where required is that of the client alone. The Company will not be held responsible or liable for any consequence of any nature arising from the client failing to comply with such requirements.
The client must ensure that their passport is valid for at least six months beyond the end of the travel period, and has a minimum of four blank pages.
Azure Travel (Pty) Ltd advises all passengers to take out insurance against default, cancellations, curtailment and medical expenses. Ask your Travel Agent for more details. Azure Travel (Pty) Ltd will not accept any responsibility for any costs incurred as a result of passengers not taking out adequate insurance cover.
Azure Travel (Pty) Ltd reserves the right to substitute hotels listed with other hotels of similar category.
Amendments & all cancellations en-route must be made with our overseas operators directly. Please note that en-route cancellations & amendments may incur additional fees as determined by our overseas operators, the cost for which must be settled with our operators directly.
The Company makes every effort to ensure all arrangements and services connected with your tour will be carried out as specified in the most efficient way possible. However we do not have direct control over the provision of services by suppliers & whilst they are in all cases selected with the utmost care we do not accept liability for errors, omissions & failure to provide service.
A baggage allowance of 20kg per person is permitted in economy class & 30kg in business class, on international flights. Clients are reminded that they are responsible for reconfirmation of return flights within 72 hours prior to departure. Failure to do so may result in the cancellation of a flight reservation by the airline, Check in is THREE HOURS prior to the advertised time of the aircrafts departure.
The airline concerned is not held responsible for any act, omission or even during the time passengers are on board the aircraft. The passenger's ticket in use by the airline, when issued shall constitute the sole contract between the airline and the passenger. Azure Travel (Pty) Ltd cannot be held responsible for any act and consequence arising out of this clause.
The Company cannot be held responsible for any charges that appear on a client's credit card, nor responsible for having any of these charges reversed or corrected on clients return to South Africa.
Azure Travel (Pty) Ltd (hereafter called the Company) act as agent for the client in making and securing all arrangements for transportation, sightseeing and/or hotel accommodation for the tour programme. The Company does not own, control or manage any transportation vehicles, hotels or restaurants. All coupons, receipts and tickets are issued according to Terms and Conditions specified by the supplier. The client herewith accepts and is bound by the terms and conditions set forth in this brochure. Furthermore, the passenger undertakes that in the event of any money transaction between himself and Azure Travel (Pty) Ltd has taken place, all Terms and Conditions of this agreement will be in force.
